- The person installing Impromptu is automatically assigned the role of Super Admin and is responsible for all account related functions.
- The Super Admin must complete the onboarding process and has access to the Payment Portal and Welcome Message.

Channel Set Up
- Set up your Social and Event channels by integrating Impromptu within an existing Slack channel or create a new Slack channel for Impromptu activities.
- Set up Slack channel notifications so team members can be notified of upcoming activities on daily or weekly basis.
My Activities
- Displays all your activities including activities you have joined, created, or invited to participate.
Settings
- Add a list of locations on behalf of all team members. Locations can be very specific such as offices and suburbs or they can be very broad such as cities, regions, or countries.
- Add a list of activities & interests on behalf of all team members. These can be informal such as coffee, food, drinks, yoga, soccer etc. or formal such as lunch & learns, volunteering, webinars, ERGs, networking events etc.
- Add Administrators and Event Organisers who will be able to create socials, events and manage all activities. For example, ERGs, Office Managers, Vibe Managers, Workplace Experience Team, People & Culture Team etc.
Create a New Event
- Event Organisers and Admins can create events on behalf of all team members via the ‘Create a New Event’ button. Once submitted, the activity will be posted to the Events channel for people to join.
- If you have a particular Cover Photo image you wish to use, we recommend uploading the image to ‘Postimage’, a free image hosting platform and copying and pasting the ‘Direct link’ to Impromptu. https://postimages.org/
- Impromptu also facilitates external events, just copy and paste a website URL link into the text box when creating an event. Impromptu will direct team members to ‘Sign Up’ to the event instead. External events will have limited app functionality. I.e., message notifications, calendar sync, view attendees etc. will be deactivated due to it being a third-party event.
Notifications
- All team members can subscribe to locations, activities, and interests to be notified of newly created social activities and events.
- Notifications will apply in the following ways:
- Subscribe to both activities and locations, you will be notified of these specific activities in chosen locations.
- Subscribe only to activities, you will be notified of these specific activities in any location.
- Subscribe only to locations, you will be notified of any activity in these specific locations.
- Sort activities and locations by popularity, alphabetically, or subscribed.
Activity Management
- Displays all active socials and events created by all team members. Filter activities and locations to narrow your search.
- To edit or delete a social activity or event, please click on the ellipsis (…) button and select what you want to do.
Welcome Message
- Spread the word of the launch of Impromptu. Select a channel to send out comms to your business. An editable template has been already created for you to use and send.
Messages
- Receive a notification after joining an event or social activity and a follow up reminder notification 1 hour before an activity starts.
- Receive invitations from peers to join an event or social activity.
Calendar Synchronization
- Impromptu activities can be synced to your calendar. Most calendar programs allow you to import an iCalendar (.ics or iCal) URL.
- Find the ‘Add calendar’ button and simply copy and paste the URL link to sync your Impromptu calendar.
Outlook Calendar:
- Open your Outlook Calendar, select ‘Add Calendar’ > ‘From Internet’. Copy and paste the URL link and click ‘Ok’. Select ‘Yes’ to add this calendar and subscribe to updates. Overlay the Impromptu calendar with your calendar.
Google Calendar:
- Open your Google Calendar. Click on the + icon beside ‘Other calendars’ on the left-hand menu. Click ‘From URL’. Copy and Paste the URL link and click ‘Add calendar’ button. Overlay the Impromptu calendar with your calendar.
